You’ve probably sent a photo of a receipt or a contract as if it were a selfie. It looks blurry, the corners are cut off, and the other person can’t read a thing. There’s a WhatsApp button that fixes that in seconds, and most people have never touched it.
I’m talking about the WhatsApp scan document feature. It’s been around for a while, but it’s buried where nobody looks. It doesn’t live in the normal camera inside a chat. It’s tucked away in the file-sharing menu, under the option that says «Document.»
Open any chat, tap the paperclip or plus icon, and instead of hitting Gallery or Camera, choose Document. On Android, look at the bottom of that screen: you’ll see «Scan document.» On iPhone, the same option appears when you tap the plus icon and then Document.
That’s the trick. The WhatsApp document scanner doesn’t show up in the camera roll or the regular camera view. It’s intentionally discreet, probably because Meta doesn’t want it competing with the main camera button. But once you know where it is, you’ll use it constantly.
If you still can’t find it, make sure WhatsApp is updated. The feature rolled out gradually, and some older phones got it later than others.
Automatic edge detection: it scans faster than you think
When the scanner opens, point it at your document. The app detects the edges on its own and draws a green box around the paper. On iPhone, if you hold still for a second, it captures the shot automatically. On Android, you usually tap the shutter button, though some versions also auto-capture.
For multi-page documents, this is where the WhatsApp scan document tool shines. You scan page one, and it immediately prompts you to scan page two, then three. No need to exit, no need to re-open the camera. It just keeps going.
But here’s the catch: if the lighting is bad or you’re moving, the green box jumps around like it’s nervous. That’s when you switch to manual mode.
Manual mode: when you need total control
At the top of the scanner screen, you’ll see a toggle that says «Auto.» Tap it, and it switches to «Manual.» Now you decide exactly when to press the white button. It’s slower, sure, but you won’t end up with fifteen blurry shots of your desk.
I use manual mode for anything with fine print, like a bank statement or a tax form. The WhatsApp document scanner is smart, but it’s not perfect, and manual mode gives you the precision that auto mode sometimes misses.
Crop, rotate, and clean up the scan
After you capture a page, you get a preview. Tap it, and you can drag the corners to crop exactly what you want. This is huge when the scan accidentally includes half your keyboard or the edge of another paper.
The WhatsApp scan document feature lets you crop page by page, so if one page came out crooked, you fix just that one. You can also rotate it if it’s sideways. Small thing, but it saves you from sending a document that looks like it was scanned by a toddler.
Black and white, color, or photo: which one to choose
Here’s a detail most people ignore. After cropping, you get three color options: Black and white, Color, and Photo.
- Black and white: Best for printed contracts, typed documents, anything with clear text. It removes shadows and makes the text pop.
- Color: Use it for IDs, passports, or anything where color matters (like a stamped document or a colored logo).
- Photo: Sends the image as-is, no processing. I almost never use this because the text usually looks worse than with the other two.
Choosing the right mode is what separates a readable WhatsApp PDF from a useless one. Don’t just accept the default. Tap and check which one looks best.
Lighting and background: the make-or-break factor
You can have the best scanner in the world, but if you scan a wrinkled paper on a dark table, it’ll look like garbage. The WhatsApp scan document tool needs decent light.
Put the paper on a flat surface, ideally a table with a contrasting color. Don’t put a white receipt on a white kitchen counter. Use a dark surface if you can. If the room is dim, the scanner has a built-in flashlight you can turn on.
Also, flatten the paper. If it’s creased, the scanner will pick up shadows and the text will be hard to read. Smooth it out with your hand before scanning.
What happens when you hit send
Once you’ve scanned all pages, WhatsApp compiles them into a single PDF. You can add a caption like «Here’s the invoice» and send it. The other person gets a downloadable file, not a compressed image. That’s the whole point of the WhatsApp scan document feature: it turns your phone into a pocket scanner.
The best part? You never leave the chat. No extra apps, no emailing yourself, no cloud uploads. It’s all inside WhatsApp.
When you shouldn’t use this tool
I love this feature, but it’s not for everything. If you’re sending your passport, your tax return, or anything with sensitive data, think twice. WhatsApp is encrypted, but the person on the other end might not be careful.
For legal or financial documents, a dedicated scanner app or a real scanner is safer. The WhatsApp scan document tool is for everyday stuff: a receipt for a repair, class notes, a handwritten shopping list. Keep it casual.
WhatsApp rolls out features gradually. If you don’t see «Scan document» under the Document option, update the app from the App Store or Google Play. Restart your phone. Sometimes it appears after a day or two.
It’s not a bug. It’s just how Meta does things. Be patient, and while you wait, you can still send photos as documents by selecting them from your gallery and choosing «Document» instead of «Photo.» But once the scanner arrives, you’ll wonder how you ever lived without it.
